Privacy policy

This policy explains what we collect, why, and the choices you have. We aim to be plain and honest about it — the same way we work. It applies to visitors from the Gulf, the UK, Europe, and the US, and is written to meet GDPR and UK GDPR.

Who we are

Rheo Technologies (“Rheo”, “we”, “us”) is the data controller for the information described here. For any privacy question or request, email contact@rheotechnologies.com.

Analytics that need no cookies

By default we use Plausible and Vercel Analytics — privacy-friendly tools that set no cookies and collect no personal data. They count visits and page performance in aggregate only. Because they store nothing on your device and can't identify you, they run without a consent banner.

Information you give us

When you submit the contact form we collect your name and work email, plus anything you choose to add: company, country, industry, company size, budget, timeline, and a description of what's slowing your business down. If you email yourself a result from the savings calculator, we collect that email and the figures you entered. If you subscribe to updates, we collect your email.

We use this only to reply, follow up, and send what you asked for. Form and calculator submissions are emailed to us through Resend, stored in our content system (Sanity), and recorded in our CRM (HubSpot) so we can manage the conversation; our team is also alerted to new enquiries internally via Slack. Booking a call is handled by HubSpot Meetings.

Cookies and tools that need your consent

With your consent we use tools that set cookies or record usage: Microsoft Clarity (heatmaps and session replay, with all text and inputs masked) to see where the site confuses people; HubSpot's tracking script to link your visit to any enquiry; and, where enabled, Leadfeeder, which identifies the company (not the individual) behind a visit. We may also show a single on-site offer.

None of these load until you accept them. You choose what to allow when you first visit, and can change or withdraw consent any time via “Cookie settings” in the footer. We honor Global Privacy Control and Do-Not-Track browser signals as a request to keep these off.

Cookies & on-device storage

Our cookieless analytics (Plausible, Vercel Analytics) set nothing on your device. Only the consent-gated tools above set cookies, and only after you accept: Microsoft Clarity sets _clck and _clsk; HubSpot sets hubspotutk; Leadfeeder sets its own cookie if and when we enable it. These belong to those providers and are used as described above.

We also store a few small first-party flags in your browser to make the site work the way you chose — they hold no personal data: rh_consent (remembers your cookie choices); rh_exit_dismissed (so a dismissed on-site offer stays hidden); and session-only flags rh_intent, rh_utm_* and rh_engagement (remember, for your visit only, which link or campaign brought you and which pages you saw, so an enquiry carries that context) and rh_exit_shown. You can clear all of these any time by clearing site data in your browser.

IP addresses

Some tools briefly process your IP address to count a visit or, only if we ever enable Leadfeeder, to look up the company behind it. We do not use IP addresses to identify you as an individual, and our cookieless analytics do not store them.

How we prioritise enquiries

To follow up well, we derive a simple internal “lead score” from the activity in your visit (such as pages viewed and the figures you enter in the calculator). It only helps our team decide who to contact first — it is not an automated decision that produces a legal or similarly significant effect for you.

Our legal bases

Under GDPR/UK GDPR we rely on: your consent for the cookie-setting and marketing tools (which you can withdraw at any time); our legitimate interests in responding to and managing enquiries, prioritising follow-up, and keeping the site secure; and taking steps at your request to respond to a project enquiry.

International transfers

Some providers (e.g. HubSpot, Vercel) process data in the United States. Where data leaves the UK/EEA, the transfer relies on an approved mechanism — HubSpot is certified under the EU-US and UK Data Privacy Framework, and we use standard contractual clauses where applicable.

Hosting

This website is hosted on Vercel. Each provider named here processes data under its own terms as our processor.

Retention

We keep enquiry and lead details only as long as we need them to respond and manage our relationship with you, then delete or anonymise them. Tell us if you'd like yours removed sooner.

Your rights and choices

You can ask what we hold about you, request a copy, ask us to correct or delete it, withdraw consent, or object to a use — email contact@rheotechnologies.com and we'll take care of it. You can change cookie choices any time via “Cookie settings”. If you're in the UK/EEA you also have the right to complain to your data protection authority.

Changes to this policy

If we add or change a tool that affects your data, we'll update this page and the “last updated” date above before the change takes effect. Significant changes will be reflected here so you can always see what's current.
